Prepare the review before preparing the run
Payroll preparation connects several responsibilities: HR maintains employment information, employees provide required details, reviewers resolve time records and finance processes the run. A useful checklist makes those handoffs explicit.
This article describes a practical MantraWorx workflow. It does not present a customer case study or promise a processing-time reduction. Your finance team should confirm the policies, statutory requirements and payment setup that apply to your organization.
1. Check the employee and pay information
Review the employees included in the cycle and any joining, exit or salary changes that affect it. Confirm the effective dates and the people responsible for approving changes.
The People and Pay workspace brings together employee tax, bank and loan workflows, with additional administration views for authorized operators. Pending bank verification or other readiness issues should be resolved through the appropriate workflow before advancing the run.
For an exiting employee, coordinate the HR clearance process with the financial settlement responsibilities. Do not assume that completing one department's task closes the entire employment workflow.
2. Review attendance and leave inputs
Check the relevant attendance records, approved leave and applicable work calendar. Resolve missing or disputed information with the employee and authorized reviewer.
Keep the decision attached to the original attendance or leave process so the payroll operator can understand the input. Samay connects attendance and leave requests to the wider people workflow.
3. Inspect the computed run
After preparing the inputs, review the computed employee pay records and the changes that need attention. Investigate a difference in the source information before treating it as an error or approving it.
Assign responsibility for each unresolved item. A short review list can record the issue, its owner, the supporting record and the decision needed before the run advances. It should support the payroll controls already configured in your workspace.
4. Complete approval and payment responsibilities
Use the required approval stages and the supported payment process. Confirm who is permitted to approve, disburse and close the run. Keep the final state visible to the people responsible for payroll operations.
Generate the relevant payslips from the reviewed run and check how employees access their own documents. A clear employee record helps the team answer later questions about a salary slip.
5. Prepare statutory records for review
MantraWorx includes Indian statutory payroll workflows, including available registers, a filing calendar and Form 16 processes. Verify employee settings, applicable rules and the supported exports with your finance team. Preparing a record in software does not itself complete a statutory filing.
