Start with a handoff your team struggles with
A remote team needs more than a place to send messages. People need to know where to find the current work, who owns the next step and which decisions still need discussion.
Choose one recurring handoff to improve first. It might be a requirement moving from product to engineering, a new employee joining a team, or an internal request moving between desk handlers. Write down where the request starts, what information the next person needs and how completion will be recorded.
The example below is an operating pattern you can adapt, rather than a report of measured customer results.
Keep the written record useful
For each piece of work, identify a source record. A delivery requirement belongs with its story or task; a working procedure belongs in a shared document. Use conversation to clarify the record, then update the record when a decision changes.
A short decision note can answer four questions:
- What did the team decide?
- Which work does the decision affect?
- Who is responsible for the next step?
- When should the team revisit it?

Choose messages or meetings deliberately
Use a team conversation for a question that colleagues can answer when they are available. Include the relevant context and explain whether you need information, a review or a decision.
When a topic needs a live discussion, bring a clear agenda and the source record. After the meeting, review the action items, confirm ownership and update the relevant work. A recorded suggestion still needs to be checked against what the team actually agreed.
Plan around people’s availability
Agree on expected response windows and a route for urgent issues. Check leave, holidays and the team's working arrangements before scheduling a meeting or assigning coverage. An attendance record by itself does not explain an employee's contribution or circumstances.
For internal services, desk duties and handovers help the responsible department plan coverage and transfer outstanding requests. For new employees, onboarding keeps joining responsibilities visible to the people involved.
Try the pattern with one team
Select one workflow, identify its source records and agree how the next handoff will work. After using it, ask where people still had to chase information. Adjust the process before extending it to other teams.
